What is a job template?
A job template is a saved copy of a complete job setup that you can reuse the next time you hire for a similar role. Instead of building the same process from scratch each time, you set up one job the way your organisation wants to hire for that kind of role, save it as a template, and start the next job from it.
Good to know before you start:
A template is a snapshot, not a live link. Once a template exists it is independent of the job it came from. Editing the original job later does not change the template, and editing a template does not change any job already created from it.
Templates are shared across your organisation. Anyone who can create and manage job positions can create a template, and everyone with those permissions can see and use every template. There is no separate template permission.
Because templates are shared, treat them as your organisation's agreed way of hiring for a type of role rather than as personal drafts.
Save a job as a template
Go to Job positions.
Find the job you want to reuse and open the ⋯ menu on its row.
Select Save as template.
In Create job position template, fill in a Job template title. This is required.
Add a Description. This is optional but recommended.
Select Confirm.
To save a job as a template, the job must be:
Set up in Alva's Hiring System, and
Complete - its assessment flow must be fully set up
If it is a Hiring System job but its assessment flow is unfinished, Save as template appears greyed out with the tooltip "A job template can only be created from a fully set up job position". Finish the assessment flow, then save.
Write the description for the person choosing the template. The description is what your colleagues read when they are picking a template for a new job, so describe what the template is for - for example, "Our standard process for all Customer Success roles". It is a separate field from the role description that comes across from the job itself, so you do not need to repeat the role here.
What happens after you save
Alva builds the template in the background, so you can carry on working while it finishes.
You’ll get a confirmation at the bottom of the screen while the template is being created, and another with a link once it’s ready.
You can also find your templates under Assessments → Job templates.
What a job template includes
Included | Details |
Name, description, location and language | The template’s language is fixed when it is created. |
Stages | Which stages the process has, and in what order. |
Assessments in each stage | Personality tests, logic tests, coding tests, screening for readiness and interviews — with their skills, traits, background requirements and configuration. |
Role Fit weights | The importance you set for each assessment. |
Including their conditions. | |
The job ad | Title and body. |
The role description | The description of the role itself. |
Two things are not included:
Candidates. A template holds no candidate data of any kind.
The hiring team. A job created from a template starts without a hiring team, so you add it as usual.
Where to find your job templates
To find your templates:
Go to the Assessments tab.
Select Job templates.
The library lists every job template in your organisation, with its:
Name
Description
Assessments
Created by
Created on.
Use the search field to find a template by name, and sort by Name or Created on.
💡Note: A template that is still being built shows a status badge on its row - Creating. The badge disappears once the template is ready to use. A template that failed shows Error.
Preview a template
To preview the template, simply click on the template from the list. The view is read-only - nothing here can be edited.
In the preview, you will see:
the description and location
skills and experience
the assessment plan laid out as stage columns
the Role Fit score contribution
the job ad.
Each interview in the plan can be previewed, so you can read through its content before using the template.
💡Note: You can copy the URL of an open template and send it to a colleague to take them straight to it.
What is not available yet
We are continuing to build on job templates. These are not available at the moment:
Building a template from scratch - every template starts from an existing job
Editing or renaming a template after it has been created
Deleting a template
Duplicating a template
Because templates cannot yet be renamed or deleted, give each one a clear name your colleagues will recognise when you create it.
