Agent Workflows and the Action Hub

Instructions the agent runs on a schedule, and the place their results and approvals wait for you.

What a workflow is

An agent workflow is a set of instructions you write once and let the agent run on a schedule. Every workflow has a name, the instructions themselves, and one or more triggers.

You manage them under Agent workflows in Settings, or from Manage workflows in the Agent settings menu inside the agent panel.

šŸ’”Note: Agent workflows are not the same thing as the stage automations on a job position. Stage automations fire when a candidate enters a stage; a workflow runs your own instructions on a clock.


Creating one

Create workflow walks through three steps:

  1. Get started - pick a template to start from, or write your own instructions. Templates holds ready-made workflows, including ones Created by Alva, and Start from scratch is there when you would rather not use one.

  2. Setup - give the workflow a name and its instructions. / and @ work here too, so a workflow can call a skill or point at a specific job.

  3. Triggers - choose when it runs.


When it runs, and what it is allowed to do

Triggers are schedules: Daily at a time you pick, or Weekly on a chosen day. Times are in your own time zone, and a workflow can carry more than one trigger.

  • Run now starts it immediately, without waiting for the schedule.

  • Each workflow has its own Permission mode - Require approval or Run automatically, set independently of your chat. See Chatting with Alva Hiring Agent.

  • Activity log shows every run, Scheduled or Manual, and Open conversation takes you into what the agent actually did.


The Action hub

Workflows hand their results to the Action hub, which holds three kinds of item:

  • To-dos - suggested actions you can Proceed with or Discard in one click.

  • Approvals - actions waiting for your go-ahead before the agent continues.

  • Scheduled runs - the recurring workflows that monitor your jobs and candidates.

Filter between Active and Resolved; resolved items stay, so you can always look up what happened. Ask Alva opens a conversation about an item, and Show in chat takes you to the conversation it came from. You can select several items and handle them together.

šŸ’”Note: The Action hub button in the top right shows a count of items you have not seen yet, and hovering it gives you a preview without leaving the page.


Who can create workflows

Creating, scheduling and running your own workflows needs the Manage own workflows permission; creating templates the whole organisation can start from needs Manage workflow templates for the organisation. Both live in the Alva Agent permission category - see An Introduction to Alva Hiring Agent.
