Inviting Candidates Manually
Invite candidates one by one by adding them directly to a job position.
Open your job position in Alva.
Go to the Candidates tab and click Add candidate.
Enter the candidate’s name and email address.
Choose which assessments to send - Personality, Logic, or Coding.
Click Add to send the invitation.
💡Note: If you can’t see the option to create or manage invitations, you may not have the right permissions - reach out to an admin in your organization.
Good to know:
Invitations are sent automatically unless you deactivate “Send email invitation.”
You can add several candidates manually if needed - they’ll all appear under the Candidates tab.
💡 Note: Every candidate must be linked to a job position before they can receive an assessment. This ensures their results are connected to the correct role, matched against the selected Personality Profile, and visible to your team throughout the hiring process.
Inviting Candidates via a Public Signup Page
Share a single signup link that allows candidates to register themselves for the Personality and Logic tests tied to a specific job.
Open your job in Alva.
Go to the Settings tab (the far-right tab within the job).
Scroll down to Public page and toggle it on.
Copy the link and include it in job ads or emails.
When a candidate signs up via the public link, they’ll automatically receive the same invitation email and assessment setup that you’ve configured for that specific job. Their results will appear under the job’s Candidate tab once they complete the tests.
Inviting Candidates Through a Spreadsheet
If you have a large number of candidates to invite, you can upload their details from a spreadsheet.
Prepare a spreadsheet with a mandatory column titled
email(lowercase).Optionally, add columns titled
first_nameandlast_name.In Alva, go to the Candidates tab of your job.
Click Add candidate → Import from file.
Upload your CSV or Excel file.
Choose whether to send invitations immediately or import candidates first and send invitations at a later stage.
💡Note: Make sure column titles match the required lowercase format - otherwise, the upload will fail.
Managing Candidate Reminders
Reminders help ensure candidates complete their Personality and Logic assessments.
You can send reminders manually at any time:
Tick the box next to one or several candidates.
Click Send reminder in the top-right corner.
By default, one automatic reminder is also sent three days after the candidate was invited. You can adjust or disable this under Settings → Email in your job position.
Managing Invitation Languages and Email Templates
You can change the language used in candidate invitations under Settings → Email on each job position.
