How to activate the Alva integration with Oracle

Prerequisites:

Ensure you have the necessary permissions to access the “Security Console” in Oracle Recruiting Cloud.

Your account should have the following roles:

  • ORA_PER_RECRUITING_ADMINISTRATOR_JOB

  • ORA_ASM_APPLICATION_IMPLEMENTATION_ADMIN_ABSTRACT

Steps to Activate the Integration:

  1. Obtain Oracle Recruiting Cloud API Domain:

    • Log into your Oracle Recruiting Cloud instance.

    • Copy the URL from your browser; this will be used in the integration setup.

  2. Create an API User in Oracle Recruiting Cloud:

    • Click on the menu icon (three bars) in the top-left corner.

    • Navigate to Tools > Security Console.

    • In the Users tab, select Add User Account.

    • Enter the required information:

      • Last Name: e.g., ASSESSMENT_API_USER

      • User Name: e.g., ASSESSMENT_API_USER

      • Password: [Save this securely for later use]

      • Click Save and Close.

  3. Create a Custom Role for API Access:

    • In the Roles tab, click Create Role.

    • Enter the following details:

      • Role Name: Assessment Integration API User

      • Role Code: ASSESSMENT_INTEGRATION_API_USER_ROLE

      • Role Category: Default

    • Click Next.

    • In the Function Security Policies section, click Add Function Security Policy.

    • Search for ORA_IRC_REST_SERVICE_ACCESS_CANDIDATE_ASSESSMENTS.

    • Add the selected privilege.

    • Proceed through the steps by clicking Next until you reach the Users section.

    • Click Add User, search for the previously created user (ASSESSMENT_API_USER), and add them to the role.

    • Click Next, then Save and Close.

  4. Import the Configuration Package:

    • Download the configuration package provided by Alva by going to your Alva account, click Settings, Integrations, Add integration, scroll down and select Oracle Recruiting Cloud, click Enable integration via Kombo and fill in the URL you copied in the very first step of this guide. Also, fill in the ASSESSMENT_API_USER and the password you saved in the earlier step.

    • In Oracle Recruiting Cloud, click on your profile picture and select Setup and Maintenance.

    • Open the Tasks Panel and select Manage Configuration Packages.

    • Click Upload, browse for the downloaded ZIP file, and upload it.

    • After uploading, select the package and click Import Setup Data.

    • Submit the import and wait for the process to complete successfully.

  5. Setup Assessment Partner:

    • Access Setup and Maintenance:

      • Click on your profile picture in the top-right corner of the page.

      • From the dropdown menu, select Setup and Maintenance.

    • Navigate to Recruiting Configuration:

      • In the Setup and Maintenance page, click on the Recruiting and Candidate Experience tab in the dropdown located at the top-left corner.

      • Under the Functional Areas section, select Recruiting and Candidate Experience Management.

      • Click on the Recruiting Category Provisioning and Configuration task.

    • Edit Assessment Partner Details:

      • Locate your assessment partner in the list and click on the Pencil icon next to the partner’s logo to edit its configuration.

    • Enter Connection Details:

      • On the Edit Assessment Partner page, locate the Details section.

      • Paste the values from the connection flow into the corresponding fields:

        • Reference Key

        • Client ID

        • Client Secret

      • Click the Save button in the top-right corner to save these details.

    • Assign User Account:

      • In the same Edit Assessment Partner page, scroll to the User Accounts section and click on the Assign User Account button.

      • In the popup window, paste the User Name from the connection flow into the designated field.

      • Click Save to confirm the user account assignment.

    • Confirm User Account Creation:

      • Verify that the new user account appears under the User Accounts section, confirming that the account was successfully created.

    • Activate the Assessment Partner:

      • Click the Activate button at the top-right corner of the page to enable the assessment partner.

    • Finalize the Integration:

      • Return to the connection flow in your Alva platform and click on Set up integration to complete the setup.
