How to edit and create invitation templates

Learn how to edit and create your email templates when inviting candidates and employees

You have the possibility to create your own email templates to customize the invitation that goes out to both candidates and employees. In your invitation template library you can edit Alvas default invitations, make copies of your existing invitations and create new templates from scratch.

Candidate invitations and reminders

The templates are divided into two categories, Candidates invitations and Candidate reminders. Reminders are sent to the candidate three days after the initial invitation, you can read more about reminders and how to customize settings for your reminders here.

To find your invitation template library, navigate to Email templates under Settings in Alva. To create a new template for scratch, click on Create new template at the top of the page, and to edit a template, simply click on the template in the list.

Template content

You can edit the subject line, title, body, and link text. All changes you make to the template will be updated live in the preview on the right-hand side of the screen, allowing you to see how the invitation or reminder will look for the recipient.

Email appearance

You can also customize the appearance of the email to fit your organization. This includes adding a logo to the template and change or remove the company name. If the option to add a logo is not visible, your logo might not be uploaded to your Alva account yet. You can upload a new logo by navigating to Account details.


💡We recommend keeping your invitations brief—preferably under 100 words! If you want to include more information, consider sending an email before the invitation with more in-depth information about the assessment. If you are using Alva with an ATS, there are often ways to automate this for a smoother process!

Employee invitations

Inviting employees to complete Alva tests for team development or workshops

If you want to create customized email templates, you can go to the settings page and click "Email templates" and then "Create new template" (see screenshots below). You can create customized templates for both candidates and employees (users). Also, you can create templates for both invitation emails and reminder emails.

Once you start filling out the information you would like in the template, you can see a preview on the right of how the template will look to receivers (see the last screenshot below). You can leverage communication templates to candidates HERE and to employees HERE.

Once you save the template, it will be available in the organization library of email templates.
